A Tier-1 regulated Indian electricity distribution utility needed to digitize its vendor material inspection process. Every time materials arrived against a SAP purchase order, procurement and quality teams had to raise an inspection request, schedule inspections, capture results, validate GRNs, and issue a Material Dispatch Clearance Certificate (MDCC). Before Amasa, the workflow was paper-heavy and fragmented: inspection requests were raised manually or through a legacy process, PO data was re-entered by hand from SAP at every stage, inspections were scheduled manually, paperwork was completed physically, GRNs were reconciled by hand, and clearance certificates required paperwork plus SAP coordination. Vendors chased updates through phone and email. The result was duplicate data entry across the legacy system, SAP, and email; poor visibility; slow material release with 2-3 week review cycles; 3-4 people touching every request; and a heavy audit burden for a regulated process.

Amasa built an end-to-end SAP-integrated inspection management portal across web and mobile, delivered over 5 months, live in production, and handed over to the client for ongoing maintenance. The platform replaced paper workflows with digital inspection requests, calendar-based scheduling, technical clearance capture, SAP validation, MDCC generation, vendor status visibility, analytics, and role-based access. SAP is connected through a custom ZSI-UD interface with live PO pulls, GRN validation against SAP, and MDCC generation written back into SAP — keeping SAP as the system of record while the portal manages workflow execution and visibility. Ariba sync keeps vendor profiles, onboarding, and invoice generation aligned. An AI vendor risk engine routes each inspection request to self, third-party, or physical inspection based on vendor history.
